An iconic global motorcycle manufacturer, with in house design and development functions, and manufacturing spread across three continents.

Situation

New model development (‘vertical’) teams needed expertise from different engineering (‘horizontal’) teams, like chassis development, engine design and electronics.

This had to be done without compromising new model design security because engineers were in, or left in, multiple model teams . Manual user access management was no longer fit for purpose.

Objective

The business needed to simultaneously share and secure information dynamically, as staff moved around functions and model teams. The process had to be faster and simpler, plus increase security confidence.

Work done

Through interviews with executives, management, front line staff and ICT team members, use cases and business needs were distilled, and a design concept created. This was socialised and validated with the stakeholders, and the technical solution was designed and documented ready for the ICT team to implement.

A tailored security model was designed, based on a simple ‘stack’ of deny/allow permissions for document storage. Membership groups were created for staff, which could be used independently for each model team or business area.

Outcome

By implementing the design in Microsoft Active Directory, simply updating an employee’s group memberships managed all the sharing and blocking needed. This secured information and streamlined collaboration.

This service-based view of functionality seeded further improvement work to design a new ICT Operating Model to streamline and strengthen overall ICT services to the business.
